Privacy Policy

Hereford Insurance Company (HIC) takes your privacy very seriously. We share a commitment to protect your privacy and the confidentiality of your personal and financial information.

Our privacy promise is derived from the basic principles of trust, ethics, and integrity as well as the mandated requirements.

As a provider of products and services that involves compiling personal and sometimes, sensitive information, protecting the confidentiality of that, is and always will be, a top priority throughout the Hereford organization. This notice explains how the company handles and protects the personal information we collect from our customer, you the policyholder.


I. Hereford’s Privacy Promise

We uphold these privacy principles throughout the HIC and with our business partners.  Companies with which we share customer information, are required to maintain the confidentiality of that information.

In this notice of our Privacy Promise, the words ‘you’ and ‘customer’ are used to mean any individual or corporate entity who obtains or has obtained insurance services from HIC that is to be used primarily for business purposes.

The practices and policies contained in this Privacy Notice replace all previous notices or statements with respect to the same subject.


II. The Information We Collect

We collect only the customer information necessary to consistently deliver related products and services; develop and offer new products or services for our customers and potential customers; and fulfill legal and regulatory requirements. The information collected, and which may be disclosed, may be obtained in writing, during telephone conversations or other means of data gathering software utilized by Hereford, generally varies depending on the products or services you request and may include:

  • Information provided on applications and related forms; for example, name, address, date of birth, social security number, driver's license number and income.

  • Third party reports, such as consumer credit history, motor vehicle records, New York City Taxi and Limousine Commission records, demographic and/or medical information, if relevant to your product or service.

  • Information about your relationships with us, such as products or services purchased, and account balance (if applicable).

  • Insurance policy details including policy number, coverages, policy changes, or authorized drivers.

  • Claims related information such as locations, frequency of accidents, and claims values.

  • Telematics that explain driving trends, behaviors, and road safety compliance.


III. We Maintain Safeguards to Ensure Information Security

We have implemented standards and processes including physical, electronic and procedural safeguards, that comply with federal and state regulations, to guard your nonpublic personal financial information and to ensure that access to customer information is limited to employees, registered representatives or agents who may need information to do their jobs. They are required to respect the confidentiality of all customer information. The security program shall protect against any anticipated threats or hazards to the security or integrity of such information and protect against unauthorized access to or use of such information that could result in substantial harm of inconvenience to any customer.


IV. We Limit How and With Whom, We Share Customer Information

For marketing purposes, we do not sell lists of our customers, nor do we disclose customer information to marketing companies outside HIC. Although there is a general prohibition on disclosure of policy numbers for marketing purposes, we are permitted to disclose this information in certain circumstances: (a) to an agent or service provided solely in order to perform marketing for Hereford’s products or services; (b) to a licensee who is a producer solely in order to perform marketing for the licensee’s own products or services; (c) to a participant in an affinity or similar program where the participants in the program are identified to the customer when the customer enters the program.

Except for reinsurance transactions with an affiliated company, HIC will not share information about you with another company that may be used to make insurance underwriting or lending decisions about you, unless you direct us to or unless we tell you first and give you an opportunity to opt out.

We may be required by law or regulation to disclose information to third parties; for example, in response to a subpoena, to prevent fraud, and to comply with rules of, or inquiries from industry, state or federal regulators.

As permitted by federal and state laws, we may share or exchange information with companies engaged to work with us including both affiliated and non-affiliated third parties.

Information as described in Section II above, may be shared with affiliated companies. Affiliated companies are those that are related to HIC in common ownership with its parent company, Hereford Holding Company. This information is used to facilitate enhanced customer services, or to inform you of HIC products or services you may find useful.

A non-affiliated third party is any person or entity other than HIC, our employees or our affiliates. Information we may share with third party non-affiliated companies is described in Section II above. Non-affiliates may include:

  • The  New York City Taxi and Limousine Commission or other regulatory city or state agencies.

  • Third-party administrators and vendors hired to effect, administer, or enforce a transaction that you request or authorize; to develop or maintain software; or to perform marketing research.

  • Financial services entities, such as banks, credit unions, credit union service corporations, insurance companies, or securities broker-dealers, with which we have joint marketing agreements; and vendors who provide us with demographic information to develop and market HIC plans.

  • Strategic partners with intent to offer better rates, or reduce risks:

    • A New York City Taxi and Limousine Commission License, such as a Licensed Base that you are affilated with or many receive dispatches from.

    • The agent or registered representative with whom you work to obtain HIC products and services may use the personal information about you in his or her own files to advise you of other products or to help you with your overall insurance strategy.


V. How to Opt Out of Information Sharing

If you prefer that we do not share non-public personal information, as stated in Section II of this notice, about you, with affiliated or non-affiliated third parties, you may opt out of these disclosures at any time. If you opt out, this means that we may not make any disclosure of your information, other than those permitted or mandated by law.
